Accelerating member onboarding

Onboarding new external users to TSP Mentor’s membership platform was a highly manual process managed by a single individual alongside day-to-day responsibilities. The workflow spanned multiple systems, creating delays, dependencies, and had an inherent risk of steps being overlooked.

Whenever a new member joined, administrators had to review information in HubSpot, create and invite users into Microsoft 365, assign appropriate security groups, configure access permissions, and ensure the correct folder structures were in place. The process was time-consuming and difficult to scale.

Lancom designed and implemented an onboarding automation solution triggered directly from HubSpot. When a user's peer group information is updated, the automation initiates a complete onboarding workflow that:

  • Invites external users into the TSP Mentoring Microsoft 365 tenant as guest users
  • Assigns users to the correct Entra ID and Microsoft 365 groups
  • Grants access to the appropriate SharePoint sites
  • Validates required groups and automatically creates missing folder structures
  • Removes users from groups that are no longer required
  • Sends notifications for any remaining manual actions.
  • Real-time appointment and job tracking
  • Distance and travel tracking through integrated mapping capabilities
  • Live status updates from the field
  • Quote creation directly within the application.
  • A centralised view of overtime submissions

Modernising Field Operations with a custom Field Service App

As part of a shift to cloud CRM, one of New Zealand’s leading ventilation solutions provider has addressed a key operational application used by field installers and technicians.

Rather than rebuilding the solution outside of its Microsoft ecosystem, Lancom worked with the company to deliver a modern, automated field service application using Code Apps. This approach provides seamless integration with Dynamics 365 Online while reducing development effort and long-term complexity.

The result is a system aligned with Dynamics 365 Online CRM, delivering a high degree of integration and automation that takes information directly from customer iterations into back-end. Rekeying data is eliminated, assuring accuracy from ‘field’ to ‘cloud’.

Streamlining internal operations with Overtime Approval App

Automation is equally valuable for our own internal business processes. As Lancom has grown, managing overtime approvals through manual month-end workflows was becoming increasingly time-consuming for both managers and finance teams.

Historically, overtime approvals were managed manually. Finance teams exported overtime data at month-end, distributed information to approvers, tracked responses , and consolidated outcomes across multiple systems. No problem for a small business; a growing one for an expanding company, with delays and limited visibility impacting payroll processing and employee experience.

Lancom’s BPA team developed a custom overtime approval application integrated with ConnectWise and secured through Microsoft authentication.

By eliminating manual month-end approval cycles and achieving faster approvals, the automated overtime app has improved transparency and auditability, supporting on-time payroll processing, in turn delivering an improved employee experience.
